Scentman Fragrance operates this store and IBO office, including all related information, content, features, tools, products and services, in order to provide you with a curated shopping and distributor experience (the “Services”). This Privacy Policy describes how we collect, use and disclose your personal information when you visit, use, register, or make a purchase, and when you otherwise communicate with us. If there is a conflict between our Terms of Service and this Privacy Policy, this Privacy Policy controls with respect to personal information. Please read it carefully. By using the Services you acknowledge this Policy.
Personal information we collect or process
When we use the term “personal information” we mean information that identifies or can reasonably be linked to you. We may collect:
Contact details — name, address, billing address, shipping address, phone number and email address.
Identity details for IBOs — South African ID or passport number, date of birth and tax number, used only to verify the office and to meet financial-crime and tax duties.
Financial information — bank account details for payouts, and payment confirmation from our payment providers. We do not store full card numbers on this house.
Account information — username, password hashes, preferences and settings.
Transaction information — items you view or purchase, returns and past orders.
Communications — information you send to support or the house.
Device and usage information — browser, IP address, approximate location derived from IP, and how you move through the Services.
Personal information sources
Directly from you when you create an account, order, or write to us.
Automatically through the Services, including cookies that keep you signed in and remember your cart and currency.
From service providers who process payments, send mail, deliver parcels, or host the database on our behalf.
From Judge.me when we import product reviews you left on scentman.co.za, using only the public review text, rating, first name and product — not your email.
How we use your personal information
To provide, tailor and improve the Services: process payments, fulfil orders, manage your IBO office, arrange shipping, and remember your preferences.
To pay commissions and bonuses into the bank account you save, and to produce payslips and tax invoices.
For security and fraud prevention: authenticate your account, stop false orders, detect bots, and protect the house, the database and other members.
To communicate with you about your account, orders, payouts and (with a way to opt out) house news.
To comply with law, including POPIA, tax and lawful requests from authorities.
How we disclose personal information
With vendors who perform services on our behalf (payment processing, hosting, fulfilment, email and SMS). They may only use the information to serve us.
With couriers so they can deliver your parcel.
Inside our corporate group, or in connection with a business transaction such as a merger, or when required by law.
We do not sell personal information. Identity numbers, bank accounts and passwords are encrypted or hashed at rest and are never shown in full in the office once saved.
POPIA rights
If you are in South Africa you may request access to, correction of, or deletion of your personal information, and you may object to certain processing, subject to the Protection of Personal Information Act 4 of 2013 and our legal duties to keep financial records.
Write to office@scentmanibo.co.za with the subject “POPIA request”. We will need to verify that it is you before we act. You may also lodge a complaint with the Information Regulator.
Children
The Services are not intended for children under 18. We do not knowingly collect personal information from children. If you believe a child has given us information, contact us and we will delete it.
Retention and security
We keep order, invoice and payout records for as long as tax and company law require. Account credentials, identity and bank details are stored with encryption, access controls and staff permissions. No method of transmission is 100% secure; we work to protect the house against unauthorised access, including rate limits, bot checks and audit logs.
Cookies and similar technologies
We use essential cookies and local storage to keep you signed in, remember your cart, currency and that you have read this policy. We do not run third-party advertising pixels on the IBO house.
